Three full-time client success managers work 600 to 800 active clients at Acquisition Ace. Each one is measured on what their clients reach.
That is where any client success manager KPI starts. The point of the role is to help people get further without expensive coaches doing work that does not need a coach. So the numbers count how far the clients get.
Result from a named client with written permission. Typical clients of this cohort saw a range of outcomes; nothing here is a guarantee. How we handle claims.
Which KPIs should a client success manager have?
Six, in two groups. Two outcomes the client success manager owns, and four habits that move them. Most KPI lists for this role come from software companies and count tickets and renewals. A coaching program counts the client's result first.
| KPI | What it counts | Type |
|---|---|---|
| Client success rate | Share of their clients who reach the promised result | Outcome |
| On-track rate | Share of their clients on time against the milestone they are on | Outcome |
| New-client check-ins | Clients in their first 30 days checked in on, up to three times a week | Habit |
| Overdue contact | Overdue clients contacted the same day, by DM or voice message | Habit |
| Proof per winner | Share of clients at a milestone who gave a testimonial, review or interview | Habit |
| Next-offer flags | Clients 60 days from the end, or at the goal, passed to the closer | Habit |
What targets should a client success manager hit?
Start from your own baseline, because targets come from the offer. Once tracking goes in, client success rates show anywhere from 15 to 50% depending on the promise. Around 20% is typical. At Acquisition Ace the rate went from unmeasured to 20% and up.
Proof has a clearer bar. Every third winner should give a success interview, a testimonial or a Trustpilot review, ideally every second. Some offers reach about 70% of winners. Do not set a target above that.
The habits are close to yes or no. A new client either heard from their client success manager this week or did not. An overdue client either got a message today or did not.
Should a new client success manager have KPIs?
Not in the first month. The first month is onboarding into the role. The numbers start in month two, once the person knows the offer and the client path.
No KPIs in the first month. Every person has a learning curve, and early KPIs are pressure for no reason. How good someone turns out depends on the onboarding: a worksheet for the role, the SOPs, Loom recordings and a few training sessions. Then freedom to learn, regular check-ins and reporting back. KPIs come later.

From then on the team reviews the KPIs regularly and improves client success, upsell rates and resell rates from what it sees. The numbers are a tool for the review, not a stick.
What should you not measure a client success manager on?
Message or call volume. More is not better. Long messages are one of the three things client success managers get wrong. Write like a friend, professional, never send books, make it simple and send links.
Revenue they did not close. The client success manager flags winners and clients near the end, and the closer sells. Count the flags, and leave the close rate to the closer.
And results from a load nobody could carry. One client success manager handles up to 200 to 300 clients, and at 300 they are busy. That depends on how the role is structured and how much is automated. Past it, the numbers fall because the load is wrong.
How do you track client success manager KPIs?
From the client board, per owner. Every row in Monday.com has a client success manager, a stage, a status and the last check-in. Filter by owner and the outcome numbers count themselves; the habits show in the check-in and milestone dates.
Track them over time as well as live. People who only see the current month never see whether they got better or worse three months ago. So they loop in the same place.
Watch out. A KPI without a defined result measures nothing. If the offer says "we help you grow", there is no success rate to count. Define the result with a number before you hand anyone a target.
