Most job posts for this role are borrowed from software companies and list account management tasks a coaching program does not have. The description below is the one we use. Copy it, change the program name and the numbers, and post it.
What does the role exist to do?
One sentence: make sure every client reaches the result the program promises, on time, and renews because they did. Everything below serves that sentence. If a task on the list does not, cut it.
Responsibilities
- Run onboarding for every new client within 24 hours of purchase: welcome call booked, first milestone set, tools set up, first-week plan agreed.
- Own the first 30 days. Confirm the client attends the first two calls, completes the first module and reports one early win.
- Update the health score for every client weekly, using attendance, activity, milestone progress and response time.
- Contact any client flagged amber within 48 hours and any client flagged red within 24 hours, by the channel they actually answer.
- Run a weekly check-in cadence, by message or short call, that ends with a next action the client agreed to.
- Log milestones as they happen, with the evidence, so the results tracker and the proof pipeline stay current.
- Flag renewal-ready clients 30 days before term end, with the result they hit and the reason to continue, and hand to the closer or founder.
- Route curriculum gaps, repeated questions and call feedback to the coaching lead every week.
- Handle refund requests first, with the client's record open, and document the outcome.
- Keep the client dashboard accurate. Every number a founder sees comes from this role.
KPIs
- First 30 days: 90 percent of new clients attend two calls and complete module one.
- Response time: every flagged client contacted inside the threshold, tracked weekly.
- Client success rate: share of the cohort that hits the stated result inside the term. Baseline it in month one, then raise it.
- Retention: month-to-month and term-end retention by cohort.
- Renewal hand-offs: number of clients flagged renewal-ready 30 days out, and the share who renew.
- Proof: milestones logged and testimonials requested per month.
- Data hygiene: health scores updated for 100 percent of clients every week.
Requirements
- Two or more years in a role where you were responsible for other people following through: coaching, account management, teaching, case management or similar.
- Written and spoken English strong enough to run a call with a paying client and to write a check-in the client actually answers.
- Comfortable with a CRM or spreadsheet, a community platform and a scheduling tool. We train the specifics.
- Able to hold a hard conversation: a client who has gone quiet, a refund request, a renewal.
- Structured. This role runs on SOPs and a weekly rhythm, not on inspiration.
- Available across the hours the clients are active. For a US program that means at least four hours of overlap with US afternoons.

The gap between the US and offshore rows is not a quality gap. It is a management gap. An offshore client success manager at $1,100 a month can run this description well if the SOPs, the health score and the weekly review already exist. Without them, the cheaper hire costs more, because nobody is there to build the system around them.
Titles to use, and titles to avoid
In job posts by coaching companies, the titles in use are Client Success Coach, Client Success Manager, Success Coach, Community Manager and Customer Experience Coordinator. We post as Client Success Manager because it tells candidates the job is about outcomes, not moderation. Avoid titles that make the role sound like general support. You will attract people who wait to be asked, and this role has to reach out first.
How to screen in one exercise
- Send the candidate three anonymised client records: one thriving, one quiet for ten days, one who asked about a refund.
- Ask for the message they would send each one today, and what they would do if there is no reply in 48 hours.
- Score for specificity, tone and whether each message ends in a next action. Ignore length.
- The best candidates ask what the program's result is before they write. Note who does.
