In the offers we run, clients book their own one-to-one calls. A missed call is a booking the client made and then did not keep.

That makes it a signal, not a calendar accident. Clients who drift away usually stop showing up before they stop paying. The message you send in the hours after a missed call decides whether the next call happens.

What should a no-show message say?

Four things: no guilt, the link, one question, and nothing else. A message that reads like a warning gets ignored. A message that reads like a friend checking in gets a reply.

For a missed one-to-one call: "Hey [name], missed you on our call today. No stress. Here is the link to grab a new time: [link]. Anything getting in the way this week?"

For a missed group call: "Hey [name], missed you on today's call. Here is the recording: [link]. The part on [topic] starts at minute [x], and it fits where you are. What are you working on this week?"

After they rebook: "Got it, see you on [date]. Before then, finish [video or step] so we can use the call for your questions." That gives the call a reason to happen.

Who sends it, and on which channel?

The client success manager, not the coach and not an automation alone. Send it where the client already talks to the team. For chat support we prefer WhatsApp or Telegram; a Skool DM works when the program lives there.

Email is the weakest channel for this. In most programs the support inbox gets checked once a day, and a no-show email sits next to receipts. A voice message works better than text for the second attempt.

Client success managers send long messages. Write like a friend, professional, and never send books; everyone hates it. They make things complicated. Make it simple, send links, make it as easy as possible.

When does a missed call become a warning sign?

On the second one. Treat two missed calls in a row as a drop-off flag on the client board. The client success manager checks the stage they are on and sends a voice message that names it.

New clients come first. In the first 30 days we check in with new clients up to three times a week. A missed call in month one gets attention the same day. A client with no small win inside two weeks is the one most likely to skip.

What should you log after a no-show?

Three things on the client board: the date of the missed call, whether the client replied, and the new call date. A client with a missed call and no reply after a couple of days moves up the client success manager's priority list for the day.

Logged no-shows also show patterns. A client who misses every call in one stage is stuck on that stage. Many clients missing the same time slot means the slot is wrong for your audience.

Should you have a no-show policy or charge for missed calls?

In a high-ticket program, the cost of a no-show is the client's progress, not the coach's hour. Chasing the person matters more than charging them. What your agreement says about missed calls is a question for your lawyer; this is not legal advice.

Self-booked calls solve part of it. Not everyone books, so a big offer needs fewer calls, and the clients who take action get the most out of them. Every call has a meeting note filled in beforehand, so a missed call wastes prep, which is one more reason to rebook fast.

When is the no-show a program problem?

When many clients skip the same call. Low attendance on one group call usually means the call is at the wrong time, too long or not worth the hour. Fix the call before you message everyone who missed it.

This week. Write the three no-show messages above into your client success SOP. Add a missed-call column to the client board, and flag every client with two in a row today.
