Acquisition Ace runs 600 to 800 active clients on three full-time client success managers plus fractional coaches. Nobody there is called an account manager.

Three job titles get mixed up in coaching businesses: coach, client success manager and account manager. Each owns a different part of the client. Mix them up and the coach spends the day on check-ins.

Who does what after the sale?

Each role owns one thing and is measured on it. The resell closer is in the table because it does the part of account management that coaching needs.

What does a coach do that a client success manager does not?

Coach the work. A coach answers how to do the thing: the pricing question, the script, the hard case. That happens on group calls and on one-to-one calls the client books in a premium tier.

Most coaches in the programs we run are fractional. A full-time coach with one-to-one calls and chat support carries maybe 200 to 300 clients, a half-time coach fewer. What caps them is the number of one-to-one calls in the offer.

What does a client success manager do?

Everything that moves the client between calls. Chat first thing every morning, then the support inbox, then call prep. Then the board: the five priority clients today and every overdue client.

New clients get the most time, up to three check-ins a week in the first 30 days. At milestones, the client success manager asks for proof. Near the end, they flag winners for the next offer.

The point of a client success manager is to help people get further without expensive coaches doing work that does not need a coach. Every client should be visible as on track or overdue. Overdue means the client success manager checks in immediately, finds out what is going on, helps, and gets them to the next milestone.

Does a coaching business need an account manager?

Usually not. In software, an account manager looks after the contract and the renewal. A coaching client is not an account; they are a person trying to hit one result.

The account manager's work still exists, split in two. The client success manager knows where each client stands and when the program ends. The resell closer runs the next-offer conversation. Hiring one resell closer took one of our offers to 30 to 40% of sales from resells and upsells.

Who owns the client?

The client success manager. They own the row on the Monday.com board: stage, next milestone, time left, on track or overdue. The coach owns the call and what the client takes from it.

One owner per client closes the gaps. When a client goes quiet, nobody has to ask whose job the message is.

What goes wrong when the roles blur?

Coaches do check-ins. It feels personal, and it fills the coach's week with work that does not need a coach. The calls get fewer slots, and the overdue list grows anyway.

Or the client success manager starts coaching. Not fully understanding the offer and the client path is one of the three things client success managers get wrong. Regular trainings fix it, and so does a clear rule for what goes to a coach.

Result from a named client with written permission. Typical clients of this cohort saw a range of outcomes; nothing here is a guarantee. How we handle claims.
