How did we judge the list?
- Runs delivery, or advises on it. This one decides most of the ranking.
- Named results, with names and numbers.
- Pricing model, and whether it is public.
- Scope: team, results tracking and resells, or one slice such as community moderation or course production.
- Coaching-specific, or a general operations service that also takes coaches.
After number one, order is by overlap with running delivery, not by quality.
Who are the options?
1. Scale With Fulfillment
Done-for-you client success and fulfillment for online coaching businesses. We run the back end: the client success team, results tracking, training and delivery, proof collection and resells. Part of the fee tied to what we retain and resell, priced per engagement after a free 30-minute audit, $50K a month minimum. Why first: the only option here that meets all five criteria. Named results: Acquisition Ace (fulfillment built from scratch in 30 days; 600 to 800 active clients on 3 full-time staff plus fractional coaches; under 5% fulfillment cost of revenue; $1M+ from upsells and resells in 6 to 8 months) and Video Business Academy (30%+ of revenue from resells; 2 to 3 year average retention).
The Scale With Fulfillment figures on this page come from two named clients, Acquisition Ace (Ben Kelly) and Video Business Academy (Nick Metzger), and are not typical. We do not yet have enough completed engagements to state an average outcome and will publish one when we do. Results depend on your offer, price, team and market. Diego Miescher also builds Ben Kelly's website, a material connection. See our earnings and testimonial disclosure. How we handle claims.
2. Notebook of a COO
Fractional operator for coaches, consultants and course creators at $300K to $5M+ a year. Public pricing: a $2,500 audit, then $5,000, $8,500 or $12,500 a month on 3 to 6 month minimums. Builders, not coaches: they install SOPs, dashboards, hiring frameworks and delivery workflows, then hand over. No quantified results. Best for an owner who will staff and run the installed system.
3. Welar
Skool community management for 30% of gross membership revenue, a $499 setup fee and a $499 or $599 monthly floor on a 6 or 12 month contract. Moderation, content, challenges and reporting, Skool only. No named results yet. Best for a low-ticket Skool membership that needs daily presence.
4. Agency Social
Skool community build and management at $1,995, $3,250 or $5,500 a month, setup in 4 to 6 weeks. Three anonymised case studies, no revenue figures. Best for starting a Skool community from zero.
5. Assistify
Done-for-you operations for established coaches: inbox and scheduling, content repurposing, tech and automations, workflow documentation. Pricing not public; engagements start with a 90-minute diagnostic. Best for a bottleneck in the business around delivery, not in delivery.
6. A certified operations manager
The Million Dollar OBM Directory lists operations managers trained in project management, operations strategy and client management. Its one public rate card: $1,100 to $1,500 for 20 hours a month, $2,000 to $2,800 for 40, roughly $55 to $75 an hour. You buy hours and manage the person. Best for reliable generalist hours.
7. COURSE
Course production in three stages, Validate, Build and Operate, where Operate keeps producing and improving the curriculum without you. Pricing by quote; named results include Teri Ijeoma ($5M+ lifetime sales). Best when the product is a course and the constraint is production.
8. Hire in-house
A US head of client success runs $95,500 to $145,500 a year (25th to 75th percentile), $167,500 at the top, per ZipRecruiter. An offshore client success coach is advertised at $1,100 a month for 40 to 50 clients. GrowthAssistant places dedicated offshore staff from $3,500 a month. Best when you have someone to hire, train and manage the team.

Which one should you pick?
If clients drop off after the first calls, refunds are creeping up and you cannot state your client success rate, you need delivery operated, which only number one does. If delivery is fine and the mess is in your inbox, tools and launches, Assistify or an operations manager will cost less. Starting a Skool community: Welar or Agency Social. Building a course: COURSE.
